members and advisors should take the time to review and familiarize themselves with
these materials. If you have questions or need additional information or if you want
to start a new club don't hesitate to contact Student Leadership Coordinator Rob Camp.
Getting Started
Want to start a new club at 博天堂官方? You'll need an advisor and a minimum of eight members, who must be currently enrolled 博天堂官方 students. Clubs are open to all! After you read through the materials in this online manual, please email the student leadership coordinator for assistance with starting a new club. When your club is officially recognized, you'll be able to request start-up funds right away, then raise funds as needed.

Forms You'll Probably Need
- Club petition for Charter & current club member Roster: to activate existing clubs in early Fall Term; page 2 is a Current Club Members roster.
- Club Expenditure Requisition & Reimbursement Request: to request payment of or reimbursement for expenses incurred >$25.00. If reimbursement is <$25.00, use a Petty Cash Voucher. Remember to make a copy for the clubs program assistant! **It is critical that you check the club's fund periodically to ensure it is not overdrawn.** Contact the clubs program assistant at any time for a balance. All reimbursements require your advisor's signature.
- Council of Clubs Web Resources: Use this to access resources provided by Council of Clubs.
Forms You Might Need
- Club Event Registration form: Fill out and turn in to the clubs program assistant in F-120 as far in advance as possible.
- Club Event Planning Form: Keep your information and process organized.
- Reserve Rooms: Use this online form to request a classroom for meetings.
- Driver Status Form: Fill out and turn in to Campus Safety Office if you'll be traveling off-campus and/or if you want reimbursement for your travel. Must be updated annually.
- Liability Waiver: for more physically active clubs, off-campus travel, etc.
- Gift Cards: see Student life and Leadership for process if you'd like to use gift cards as drawing
prizes or incentive gifts.
Marketing and Advertising
There are a wide variety of ways to advertise your club's events and build membership:
- Posters/flyers: Use club funds for posters printed by 博天堂官方's Print Center, or ask Student Life & Leadership staff about making copies in our office. Posters/flyers must include the nondiscrimination language (below).
- Electronic slides: SL&L staff can help you create a slide for the monitors around campus.
- Sandwich boards: Student Life & Leadership (Forum-120) has sandwich boards available for check-out, as well as rolls of color paper and other sign-making materials for your use.
- Campus Calendar: Contact SL&L staff about posting your club's meetings and events to the Student Events & Activities calendar, which feeds into LBLive.
- LBLive app: Download, register and post to the Student Feed, or communicate within your own club. Student reps and advisors are invited to become administrators of their own club feed--contact SL&L staff if interested. This is the fastest and easiest way to reach the largest number of students with your information!
- Chalking: No chalking by student organizations is allowed for any purpose anywhere on campus.
- Nondiscrimination language: Both paragraphs below--exact wording, not abbreviated in any way--must be included on all printed
marketing materials (flyers, posters, etc.)--in a sans serif, 12-point or larger font.

Food and Fundraising Information
The best place to learn about fundraising is in 博天堂官方's Student Life and Leadership Office located in the Student Union. SL&L staff are happy to visit with you and help brainstorm viable fundraising options for your club.
When soliciting donations from local businesses, it is critical you make contact with the 博天堂官方 Foundation ahead of time. Our college has existing relationships with many companies in the area, so it’s very important you check in with them prior to approaching any local business. The Foundation must also be kept informed of all donations of products, money or services, solicited or otherwise.
Please note that although a bake sale may seem like a quick-and-easy fundraiser, you may not sell food prepared at home: it must be prepared in a kitchen certified for commercial food prep by a professional or someone with a Food Handler Card. One option is to sell Krispy Kreme Donuts. Another alternative is to purchase prepackaged baked goods locally, then repackage them (under supervision of someone with a Food Handler Card, of course!) and sell to raise money.

Getting Started
If you're interested in becoming a club advisor and would like to be put on the Advisors-In-Waiting list, please contact Student Leadership Coordinator, Rob Camp. Club advisors must be full-time/contracted faculty, part-time faculty, manager or full-time classified staff with supervisor's permission.
Part-time classified staff may not serve as advisors. There are several requirements you must complete before your advisorship is official. Most importantly, you'll need to schedule a meeting with your club's student leader and Student Leadership Coordinator Rob Camp. Take some time and review the Club Manual, as well as the materials on this page, and come prepared with questions. Plan for about an hour.
There are several required trainings you'll need to complete as well: if it's been more than a few years, it's time to revisit them--even if you completed them as part of your New Employee Orientation. Please ensure you've completed all three of these before scheduling the above-mentioned meeting.
- Personal Empowerment Through Self-Awareness (PETSA) (every two years)
Please consider downloading LBLive, our student-centric smartphone app with almost 3000 registered users. LBLive greatly enhances your ability to stay in touch with club members and keep abreast of meetings and events.
For clubs that do work in the arena of controversial topics: if your club sponsors speech, an activity or event, and expects to draw resistance,
criticism or reports that you are breaking rules, the College is here to protect your
speech and to offer to train you how to respond with civility to critics. Contact

- Gift card authorization and gift card disbursement log: Find these at the bottom of the 博天堂官方 Business Office Forms page; fill out both forms prior to purchasing gift cards/gift certificates for any reason.
- Performance Agreement: contact Amanda Mendell for assistance.
Clubs & Travel
One of the most important things for advisors to know is that if club members want to meet or volunteer off campus or travel to a conference, training or other event, you must be with them. Here are some forms you'll need if this is a likelihood for your club:
- Driver Status Form: Fill out and turn in to Campus & Public Safety Office if you'll be traveling off-campus and/or if you want mileage reimbursement. You may not transport students on official 博天堂官方 business without a current form on file. Must be updated annually.
- Liability Waiver & Indemnification form: For more physically active clubs, off-campus travel, etc.
- Driving As Agent form: Complete this form when driving a college-owned or rental vehicle on official 博天堂官方 business.
- Release of Liability: If students are driving themselves and/or others to college-related events

Finances & Fundraising
As a club advisor, you are ultimately responsible for the club's finances. Because of this, it's important that you're proactive about staying in the loop with regards to expenditures and fundraising. You can obtain the club's fund balance by emailing Rob Camp in Student Leadership.

Council of Clubs
博天堂官方's Council of Clubs makes it possible for clubs to pool resources, work together on common issues, share ideas and sponsor joint events that benefit all clubs. Please send a representative of your club to the bi-weekly Council of Clubs meeting! The more clubs that participate, the greater the value. Council of Clubs meets every other week. See the campus calendar for current time/day/location.

Start Your Own 博天堂官方 Club
Interested in starting a new club? All you need is an idea, an advisor, and at least eight club members. New clubs may request up to $100 to get started and can present a budget for materials or activities to the Council of Clubs for additional funding at any time during the academic year. Clubs hold a variety of fundraisers and other events throughout the year.
A Club Expo is held at the beginning of Winter Term in which members showcase their clubs’ offerings and provide information about meeting times and places. 博天堂官方's Welcome Day, College Night, Earth Day and Mayfest are other annual venues in which to participate and earn funds. Some clubs also choose to host a Courtyard Lunch in October or May to promote their organizations and earn incentive funds.
